Terms of Service
Effective Date: May 24, 2026
1. Acceptance of Terms
By creating an account on, accessing, or using Hobbstack (the “Service”), operated by Hobbstack LLC, an Arizona limited liability company (“Company,” “we,” “us,” or “our”), you (“User,” “you,” or “your”) agree to be bound by these Terms of Service and our Privacy Policy, incorporated herein by reference. If you do not agree to all of these terms, you may not access or use the Service.
If you are entering into these Terms on behalf of an organization (flight school, flying club, partnership, or other entity), you represent and warrant that you have the authority to bind that organization to these Terms, and references to “you” shall include that organization.
2. Description of Service
Hobbstack is a cloud-based aviation operations management platform. The Service provides tools including, but not limited to:
- Aircraft scheduling and reservation management
- Fleet management and maintenance tracking (Hobbs, tach, 100-hour, annual, oil change, Airworthiness Directives, MEL deferrals)
- Digital pilot logbook with CFI signature capability
- FAR 61.57 currency compliance tracking
- Aircraft dispatch and checkout with Hobbs/tach recording
- Billing, invoicing, and subscription payment processing (via Stripe)
- Squawk (discrepancy) reporting and work order management
- Automated weather briefing and go/no-go flight assessment (advisory only)
- Endorsement templates for FAA regulatory compliance
- Aircraft checkout/qualification tracking
- Resource and notice management
- Calendar subscription (iCal) feeds
- Data export (CSV, PDF, full account export)
- Push notifications and email alerts
3. Eligibility
You must be at least 13 years of age to create an account. If you are under 18, you represent that your parent or legal guardian has reviewed and agreed to these Terms on your behalf. For payment and billing features, the cardholder must be at least 18 years of age.
4. Account Registration and Security
- You must provide accurate, current, and complete information during registration and keep it updated.
- You are solely responsible for maintaining the confidentiality of your password and account credentials.
- You are responsible for all activities that occur under your account, whether or not authorized by you.
- You must notify us immediately at support@hobbstack.com of any unauthorized use or security breach.
- Organization administrators are responsible for managing member access, permissions, and roles within their organization.
- We reserve the right to suspend or terminate accounts that we reasonably believe are compromised.
5. Subscription Plans and Billing
5.1 Plans
The Service is offered under the following subscription structure:
- Free Personal: $0/month. For individual pilots with no organization context. Includes personal flight logbook (FAR 61.51), pilot currency tracking (FAR 61.57), weather briefings, route NOTAMs, the flight wizard for personally-flown flights, and weight and balance for up to one personally-owned aircraft. Excludes all multi-user features (scheduling, dispatch authorization, billing, member management, fleet maintenance forecasting, partnerships, QuickBooks Online sync). Personal accounts are limited to one aircraft.
- Solo: $19/month or $190/year. For organizations operating a single aircraft with multiple users (single-aircraft partnerships, owner-operators, discovery flight providers, single-aircraft training operations).
- Pro: Smooth per-aircraft pricing for clubs, partnerships, and schools operating 2 to 50 aircraft and simulators combined. Aircraft and simulators count equally for pricing purposes. Pricing scales smoothly:
- 2–5 aircraft: $19 plus $15 per aircraft beyond the first
- 6–10 aircraft: $79 plus $14 per aircraft beyond the fifth
- 11–20 aircraft: $149 plus $13 per aircraft beyond the tenth
- 21–30 aircraft: $279 plus $12 per aircraft beyond the twentieth
- 31–50 aircraft: $399 plus $11 per aircraft beyond the thirtieth
- Enterprise: Custom-quoted, starting from $899/month. For organizations operating 51 or more aircraft, or any organization requiring single sign-on (SSO/SAML) authentication, a custom Service Level Agreement, dedicated support contact, white-label email branding, or extended audit log retention. Some Enterprise capabilities (SSO/SAML, white-label email) are on the active product roadmap; implementation timelines are negotiated case-by-case as part of the Enterprise contracting process.
All paid plans include unlimited organization members, instructors, and students. There are no per-user, per-instructor, or per-student fees on any plan.
All paid plans include a 30-day free trial for first-time organizations. A payment method is collected at signup (industry standard) but no charge is made until day 30; you may cancel at any time during the trial period without being charged.
Annual plans are billed at ten months for twelve months of access (approximately 17% discount versus monthly billing).
Organizations migrating from another flight-school or club-management platform (including but not limited to Flight Schedule Pro, Pilotbase, AircraftClubs, Flight Circle, Coflyt, Aviatize, Aloft360, and MyFBO) qualify for a one-time 50% discount on their first 12 months of service, applicable to either monthly or annual billing on any paid tier (Solo, Pro, or Enterprise). For Enterprise customers the discount is applied to the negotiated contract during sales onboarding. Eligibility is verified via proof of prior platform use (an invoice, member roster, or account screenshot uploaded at signup or post-signup via /billing/migrate). The discount is one-time per organization, cannot be combined with other promotional discounts, and does not extend the 30-day free trial period.
Existing subscribers on prior pricing structures retain their original pricing for the life of their continuously-active subscription. A lapse in subscription requires reactivation at the then-current published rates.
5.2 Billing
- Subscription fees are billed in advance on a recurring basis (monthly or annually) through Stripe.
- You authorize us to charge the payment method on file for all applicable fees.
- We reserve the right to modify pricing with at least 30 days' prior written notice. Price changes take effect at the start of your next billing cycle.
- Failure to pay may result in suspension or termination of your account.
5.3 Cancellation and Refunds
- You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period.
- No prorated refunds are issued for partial billing periods unless required by applicable law.
- Upon cancellation, your data remains accessible in read-only mode for 30 days, after which it may be deleted.
- Refund requests for extraordinary circumstances are handled on a case-by-case basis at our discretion.
5.4 Payment Processing
Hobbstack uses Stripe to process subscription payments. Organizations manage their own member billing and payment collection independently.
6. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable federal, state, or local regulation.
- Attempt to gain unauthorized access to any part of the Service, other accounts, or systems connected to the Service.
- Interfere with or disrupt the integrity, performance, or availability of the Service.
- Upload malicious code, viruses, worms, or other harmful content.
- Reverse engineer, decompile, disassemble, or create derivative works of any part of the Service.
- Use the Service to store or transmit content that infringes any third-party intellectual property rights.
- Impersonate another person, pilot, instructor, or entity.
- Use automated means (bots, scrapers, crawlers) to access the Service without prior written consent.
- Circumvent any access restrictions, rate limits, or subscription tier limitations.
- Enter knowingly false data into logbook entries, maintenance records, currency tracking, or endorsements.
- Use the Service in any manner that could create liability for Hobbstack or impair the Service for other users.
7. Your Data and Intellectual Property
7.1 Ownership
You retain full ownership of all data you enter into the Service, including but not limited to flight records, logbook entries, billing data, endorsements, aircraft information, maintenance records, and organizational data. We claim no intellectual property rights over your content.
7.2 License to Us
You grant Hobbstack a limited, non-exclusive, royalty-free license to store, process, display, and transmit your data solely as necessary to provide, maintain, and improve the Service. This license terminates when you delete your data or close your account, subject to our data retention obligations.
7.3 Data Export
You may export your data at any time using the Service's built-in export features (CSV, PDF). We will not hold your data hostage or impose unreasonable barriers to data portability.
7.4 Organization Data
Data you create within an organization is visible to other organization members in accordance with the permission structure configured by the organization's administrator. When you leave an organization, logbook entries and personal data remain associated with your account; organizational operational data (reservations, billing, squawks) remains with the organization.
8. Automated Features: Advisory Only
IMPORTANT: Automated content within the Service is for informational and advisory purposes only and does NOT constitute an official weather briefing, flight planning service, or aviation safety recommendation.
- The go/no-go flight assessment, alternate route suggestions, and automated logbook descriptions are produced by a third-party language model and may contain errors, omissions, or inaccuracies.
- Automated assessments do NOT satisfy the preflight planning requirements of 14 CFR § 91.103. You must obtain an official standard weather briefing from 1800WxBrief.com or by calling 1-800-992-7433 before every flight.
- The Pilot in Command retains full authority and sole responsibility for all go/no-go decisions, regardless of any automated output.
- Weather data displayed in the Service is sourced from third-party providers (aviationweather.gov, AVWX, CheckWX) and may be delayed, incomplete, or inaccurate. Always verify current conditions through official FAA sources.
- Hobbstack expressly disclaims all liability for decisions made in reliance on automated content or weather data presented in the Service.
- Automated features may use flight operational data (airport identifiers, aircraft types, weather observations) but do not transmit personally identifiable information (names, emails) to third-party providers.
9. Currency and Compliance Tracking
The Service provides automated tracking of pilot currency requirements under 14 CFR § 61.57 (passenger, night, instrument, tailwheel, and flight review currency). These calculations are based solely on the logbook data you enter and are provided as a convenience tool.
- Currency calculations do NOT constitute a legal determination of your eligibility to act as pilot in command.
- You are solely responsible for verifying your own currency, qualifications, and regulatory compliance before every flight.
- Endorsement templates provided in the Service are based on current FAA Advisory Circulars and FARs but may not reflect the most recent regulatory changes. Verify all endorsement language independently.
- The Service does not verify the accuracy of logbook entries, CFI certificate numbers, or medical certificate status. Accuracy of all records is your sole responsibility.
10. Maintenance and Fleet Management
The Service provides maintenance tracking tools (100-hour, annual, oil change, tach/Hobbs, Airworthiness Directives, and MEL deferrals) and squawk/discrepancy reporting as management aids.
- Maintenance tracking features are informational tools and do NOT replace the aircraft owner's or operator's obligations under 14 CFR Parts 43 and 91.
- The determination of aircraft airworthiness is the sole responsibility of the aircraft owner, operator, and appropriately rated mechanic (A&P/IA).
- Hobbstack does not inspect, certify, or verify the airworthiness of any aircraft.
- Squawk resolution through the Service does not constitute a maintenance sign-off or return-to-service authorization.
11. Service Availability and Modifications
- We strive to maintain high availability but do not guarantee uninterrupted, error-free access to the Service.
- We may perform scheduled maintenance with reasonable advance notice when practicable.
- We reserve the right to modify, suspend, or discontinue any feature of the Service at any time with reasonable notice.
- We are not liable for any loss or damage resulting from temporary or permanent unavailability of the Service.
- For critical flight operations, always maintain independent backup records and scheduling methods.
12. Disclaimer of Warranties
The Service is provided “as is” and “as available” without warranties of any kind, whether express, implied, statutory, or otherwise. To the fullest extent permitted by applicable law, we disclaim all warranties, including but not limited to implied warranties of merchantability, fitness for a particular purpose, non-infringement, and accuracy. Without limiting the foregoing, we do not warrant that: (a) the Service will meet your requirements; (b) the Service will be uninterrupted, timely, secure, or error-free; (c) the results obtained from the Service will be accurate or reliable; (d) any weather data, automated assessments, currency calculations, or maintenance tracking information will be complete, current, or free from error.
13. Limitation of Liability and Complete Disclaimer
To the maximum extent permitted by applicable law, Hobbstack LLC, its officers, directors, members, employees, agents, affiliates, licensors, and service providers shall not be liable to you or any third party for any damages whatsoever, whether direct, indirect, incidental, special, consequential, exemplary, or punitive, including without limitation:
- Death, bodily injury, or personal injury of any kind
- Property damage, aircraft damage, or destruction of any property
- Aviation accidents, incidents, crashes, forced landings, or any aviation occurrence
- Loss of life arising from or in any way related to use of or reliance on the Service
- Loss of profits, revenue, data, goodwill, or business opportunities
- Costs of procurement of substitute goods or services
- Regulatory enforcement actions, FAA violations, certificate actions, or legal proceedings
- Missed flights, scheduling errors, booking conflicts, or dispatch errors
- Inaccurate, incomplete, or delayed weather data, automated assessments, currency calculations, maintenance tracking, or airworthiness determinations
- Errors in billing, invoicing, or payment processing
- Any decision made or action taken by you or any third party in reliance on any information, data, assessment, or output provided by the Service
This disclaimer of liability applies regardless of the legal theory on which any claim is based, whether in contract, tort (including negligence and gross negligence), strict liability, warranty, or any other legal or equitable theory, and regardless of whether Hobbstack has been advised of, knew of, or should have known of the possibility of such damages.
You expressly acknowledge that Hobbstack is a software tool and not an aviation service provider, flight school, maintenance facility, weather briefing service, or regulatory authority. Hobbstack provides no advice, recommendations, or determinations regarding aviation safety. Any output from the Service that may appear to contain advice or recommendations (including but not limited to automated go/no-go assessments, weather summaries, currency status, and maintenance alerts) is informational only and shall not be relied upon as a substitute for the user's own independent judgment, official FAA sources, and compliance with all applicable Federal Aviation Regulations.
If any jurisdiction does not allow the exclusion or limitation of liability for certain damages, our liability in such jurisdiction shall be limited to the minimum extent permitted by law.
14. Assumption of Risk and Sole Responsibility
14.1 Inherent Danger of Aviation
You expressly acknowledge and agree that aviation is an inherently and unavoidably dangerous activity that carries risks of serious injury, death, and property destruction. By using the Service in connection with any aviation activity, you voluntarily assume all risks arising from or related to such activity, whether or not foreseeable, and including risks arising from the negligence or other acts or omissions of Hobbstack.
14.2 The Service Is Not a Substitute for Official Sources
The Service is a management and organizational tool. It is not a certified weather briefing service, an FAA-approved flight planning system, a maintenance provider, a flight school, or a regulatory compliance authority. Specifically:
- Automated assessments, weather displays, and briefing features DO NOT satisfy the preflight action requirements of 14 CFR § 91.103. You MUST obtain an official standard weather briefing from 1800WxBrief.com (Leidos Flight Service) or by calling 1-800-992-7433 before every flight.
- Currency tracking features DO NOT constitute a legal or regulatory determination of your eligibility to act as Pilot in Command. Only YOU can determine your own currency, qualifications, medical status, and fitness for flight.
- Maintenance tracking features DO NOT constitute an airworthiness determination, inspection, maintenance sign-off, or return-to-service authorization under 14 CFR Part 43.
- Endorsement templates DO NOT constitute a CFI endorsement. A certificated flight instructor must independently review, verify, and provide each endorsement.
- Scheduling and dispatch features DO NOT relieve you of your independent obligation to verify aircraft availability, airworthiness, and fitness for the intended flight.
14.3 Pilot in Command Authority and Responsibility
Under 14 CFR § 91.3, the Pilot in Command of an aircraft is directly responsible for, and is the final authority as to, the operation of that aircraft. No information, output, assessment, recommendation, alert, status indicator, or any other data provided by the Service shall diminish, modify, or replace the Pilot in Command's sole authority and responsibility for all flight safety decisions.
If you choose to rely solely on information from the Service without independently consulting official FAA sources, certified flight instructors, appropriately rated mechanics, or other qualified aviation professionals, you do so entirely at your own risk. Hobbstack bears no responsibility for any consequence arising from such reliance.
14.4 Waiver and Release
To the maximum extent permitted by applicable law, you hereby waive, release, and discharge Hobbstack LLC and its officers, directors, members, employees, agents, and affiliates from any and all liability, claims, demands, actions, or causes of action arising out of or related to any loss, damage, injury, or death that may be sustained by you or any third party as a result of or in connection with your use of the Service, whether caused by negligence, error, omission, or any other cause.
15. Indemnification
You agree to indemnify, defend, and hold harmless Hobbstack LLC and its officers, directors, employees, agents, licensors, and affiliates from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising from or related to:
- Your use of or inability to use the Service
- Your violation of these Terms
- Your violation of any applicable law, regulation, or third-party right
- Any content or data you submit to the Service
- Any aviation incident, accident, or regulatory action related to your operations
- Any dispute between you and another user or organization member
- Your use of billing and invoicing features
16. Termination
- We may suspend or terminate your account immediately if you materially violate these Terms, engage in fraudulent activity, or pose a security risk.
- We may terminate inactive accounts (no login for 12 consecutive months) after providing 30 days' written notice.
- You may delete your account at any time through the Service or by contacting support@hobbstack.com.
- Upon termination, your right to use the Service ceases immediately.
- We may retain certain data as required by law or for legitimate business purposes (e.g., billing records, audit logs).
- Sections 7, 8, 12, 13, 14, 15, and 18 survive termination.
17. Modifications to Terms
We may modify these Terms from time to time. We will notify you of material changes by: (a) updating the Effective Date at the top of this document, (b) displaying a prominent notice within the Service, and (c) where appropriate, by email. Your continued use of the Service after the effective date of revised Terms constitutes acceptance.
18. Governing Law and Dispute Resolution
18.1 Governing Law
These Terms and any disputes arising out of or related to them or the Service shall be governed by and construed in accordance with the laws of the State of Arizona, United States, without regard to its conflict-of-law provisions.
18.2 Dispute Resolution
Any dispute shall first be attempted to be resolved through good-faith negotiation for thirty (30) days. If unresolved, it shall be submitted to binding arbitration administered by the American Arbitration Association (AAA) under its Commercial Arbitration Rules, conducted in Maricopa County, Arizona.
18.3 Class Action Waiver
You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action. You waive any right to participate in a class action lawsuit or class-wide arbitration against Hobbstack.
18.4 Small Claims Exception
Either party may bring an individual action in small claims court in Maricopa County, Arizona, for disputes within the court's jurisdictional limits.
19. General Provisions
- Entire Agreement. These Terms, together with the Privacy Policy, constitute the entire agreement between you and Hobbstack regarding the Service.
- Severability. If any provision is held unenforceable, the remaining provisions remain in full force.
- Waiver. Our failure to enforce any right shall not constitute a waiver of that right.
- Assignment. You may not assign these Terms without our prior written consent. We may assign our rights without restriction.
- Force Majeure. We shall not be liable for failure or delay due to causes beyond our reasonable control.
- Export Compliance. You agree to comply with all applicable export and import control laws.
- No Agency. Nothing in these Terms creates a partnership, joint venture, employment, or agency relationship.
